03/11/2013 Youth Commission Regular Meeting Adopted 04/08/2013CITY OF GILROY MINUTES OF THE REGULAR YOUTH COMMISION MEETING 6:00 P.M. Monday, March 11, 2013 CALL TO ORDER The meeting was called to order at 6:09 p.m. by Chair Triolo INTRODUCTIONS Moe McHenry a representative from the Parks and Recreation Commission was introduced by Recreation Coordinator/ Advisor Anna Bielecki. ROLL CALL & SECRETARY’S REPORT All commissioners were present except Commissioner Medina and Commissioner Cabatingan who were absent. Commissioner Cabatingan was excused. Others present: Recreation Specialist Julian Mireles. APPROVAL OF THE MINUTES Commissioner Dorn motioned to approve the minutes and Commissioner Baxter seconded that motion. Hearing no objections, it was so ordered. APPROVAL OF THE AGENDA Commissioner Kang motioned to approve the agenda and Commissioner Dorn seconded that motion. Hearing no objections, it was so ordered. COMMITTEE REPORTS Commissioner Baxter provided a report on the Gilroy Gang Task Force Meeting and Commissioner Filice provided a report on the Gilroy City Council Meeting. PUBLIC COMMENT None. OLD BUSINESS A. Continued Discussion on Fundraising Efforts Recreation Coordinator/ Advisor Anna Bielecki continued discussion on fundraising by encouraging Commissioners to continue their fundraising efforts for the Senior Ball. Ideas for possible raffle item donations were discussed. B. Continued Planning for Senior Ball on Saturday, April 6, 2013 Recreation Coordinator/ Advisor Anna Bielecki opened the discussion by mentioning that 99 tickets for the Senior Ball had already been sold. Ms. Bielecki also went on to mention that decorations have been ordered, the band is booked, and volunteers are accounted for. Attendance of the Youth Commission and the role of the Youth Commission during the event were discussed as well as ideas for activities and games to take place during the Senior Ball. C. Continued Discussion & Planning for “Battle of the Arts” Event on May 18, 2013 Recreation Coordinator/Advisor Anna Bielecki opened the discussion by passing out a flyer for the “Battle of the Arts” Event. A discussion of the flyer followed in which dates and fees were examined. An audition date was set for May 4th and fees were already finalized. The discussion was concluded with incentive from Ms. Bielecki asking the Youth Commissioners to take charge and promote their event. D. Update on Calendar of Events Recreation Coordinator/Advisor Anna Bielecki opened the discussion with the mention about a possible resource which offered tips and tricks to Ms. Bielecki and Commissioner Cabatingan to help with building a Youth Center garden. Commissioner Dorn took the responsibility to keep in contact with the Boy Scouts to help with volunteering efforts towards the garden. Ms. Bielecki also mentioned the work meeting at which only three commissioners were able to attend and encouraged volunteering efforts at the Youth Center. Ms. Bielecki concluded the discussion by thanking the commissioners who attended the Youth Leadership Academy held at San Jose. NEW BUSINESS A. Nomination and Election of Youth Commission GUSD Representative Recreation Coordinator/ Advisor Anna Bielecki postponed further discussion of this agenda item until the next meeting with Commissioner Cabatingan present. AGENDA ITEMS FOR NEXT MEETING During the next Meeting the discussion for fundraising efforts, Battle of the Arts, Senior Ball, update on calendar of events, and nomination and election of Youth Commission GUSD Representative will be continued. STAFF COMMENTS Recreation Coordinator/Advisor Anna Bielecki thanked the Youth Commissioners who were able to attend Kids Discover arts and compared the profit accumulated to the past year’s profit. Ms. Bielecki also discussed the Youth Leadership Conference and discussed ideas which could be incorporated and used by the Youth Commission from the conferencce. ADJOURNMENT Youth Commissioner Chair Triolo adjourned the meeting at 7:00 p.m. FUTURE MEETING The next regular meeting of the Youth Commission will be held on Monday, April 8, 2013 at 6:00 p.m. in the Gilroy Senior Center Meeting Room. __________________________________ Commissioner Sabharwal Recording Secretary
