MINUTES OF THE REGULAR
YOUTH COMMISION MEETING
6:00 P.M.
Monday, November 4, 2013
CALL TO ORDER
The meeting was called to order at 6:10 p.m. by Recreation Coordinator/Advisor Anna Bielecki.
INTRODUCTIONS
Moe McHenry from the Parks and Recreation Commission was unable to attend the meeting.
ROLL CALL & SECRETARY’S REPORT
All commissioners were present except Commissioners Bass and Navarro who were excused and
Commissioner Spath, who was absent.
APPROVAL OF THE MINUTES
Commissioner Filice motioned to approve the minutes and Commissioner Baxter seconded
that motion.
Hearing no objections, it was so ordered.
APPROVAL OF THE AGENDA
Commissioner Filice motioned to approve the agenda and Commissioner Miner seconded
that motion.
Hearing no objections, it was so ordered.
COMMITTEE REPORTS
Commissioners Baxter, A. Sabharwal and Straub attended the first General Plan Advisory
Committee meeting on Monday, October 28, 2013. They each reported back to the group with
an overview of what the GPAC is about and their perceptions of the meeting.
PUBLIC COMMENT
None.
OLD BUSINESS
A. Election of Commission Officers for 2013-2014
Commission Officers were nominated, motioned, and voted for. Commissioner Miner
was elected Chairperson. Commissioner Filice was elected Vice-Chairperson.
Commissioner P. Sabharwal was elected Recording Secretary. Commissioner Baxter was
elected Treasurer. Commissioner Miner motioned to approve the Commission Officers
and Commissioner Filice seconded the motion.
Hearing no objections, it was so ordered.
B. Appointment of Commission Liaisons for 2013-2014
Commission Liaisons were nominated, motioned, and voted for. Commissioners Baxter
and Carpenter were elected as Representatives for the Gilroy Gang Task Force.
Commissioners A. Sabharwal and Straub were elected as Representatives for City
Council. Commissioner Navarro was elected as Representative for General Plan
Advisory Committee. Chair Miner motioned to approve the Commission Liaisons and
Commissioner Straub seconded the motion.
Hearing no objections, it was so ordered.
C. Discussion of Annual Retreat Scheduled for November 26, 2013 and Appointment of
Planning Committee.
Recreation Coordinator/Advisor Anna Bielecki gave a brief overview of the events the
Youth Commission participates in and informed the Youth Commission that the annual
Retreat is scheduled for Tuesday, November 26, 2013 at the Willey House. The group
decided to hold the retreat from 5:00 – 8:00 p.m. to accommodate the GECA students
who are still in school that day. The group was advised to come to the retreat with ideas
to map out a plan for the upcoming year. A Retreat Planning Committee was chosen,
motioned, and voted on. The Committee consists of Chair Miner, Vice Chair Filice, and
Commissioner Baxter. Commissioner Straub motioned to approve the Retreat Planning
Committee and Commissioner Carpenter seconded the motion.
Hearing no objections, it was so ordered.
D. Continued Discussion on Fundraising Efforts
Recreation Coordinator/Advisor Anna Bielecki gave a brief overview on the budget for
the Youth Commission and advised of the importance of fundraising as the Youth
Commission does not have a budget. It was decided that this topic would be discussed at
the upcoming retreat in greater detail
NEW BUSINESS
A. Discussion of GYC Shirts, Sweatshirts and other Promotional Items
Recreation Coordinator/Advisor Anna Bielecki showed the group the progression of
shirts and logos from over the years. There was discussion about the possibility of
purchasing new promotional items with the GYC logo. It was decided to ensure the new
commissioners have matching shirts and sweatshirts as the rest of the group and revisit
this topic in the future.
AGENDA ITEMS FOR NEXT MEETING
During the next meeting the discussion about changing the time of the Youth Commission
meeting will be discussed. A date will be confirmed for the group to participate in mandatory
Open Government Ordinance training.
STAFF COMMENTS
Recreation Coordinator/Advisor Anna Bielecki reminded the group to mark their calendars to
attend the YAC Social in Cupertino on November 21, 2013. She also asked the group to
promote the current Youth Commission vacancy to any of their peers who might be interested.
ADJOURNMENT
Chair Miner adjourned the meeting at 7:07 p.m.
FUTURE MEETING
The next regular meeting of the Youth Commission will be held on Monday, December 9, 2013
at 6:00 p.m. in the Gilroy Senior Center Meeting Room.
