05/04/2012 Arts and Culture Commission Special Meeting Adopted 06/12/2012ARTS AND CULTURE COMMISSION RETREAT MAY 04, 2012 The Retreat was called to order at 11:25 a.m. by Facilitator Maria De Leon. All Commissioners were present for at least a portion of the Retreat. Commissioner Heath attended from 11:00 a.m. to 12:30 p.m. and Commissioner Morasca from 1:30 to 2:30 p.m. Discussion Topics: • Review Strategic Plan — Visibility of the Arts ➢ The Commission reviewed the Strategic Plan to assess where they stand with the short-term and long-term goals. • Garlic Festival (appoint Commissioner to take lead) — contact Janet Krulee ➢ Chair Harris will take the lead in organizing filling the approximately 40 slots to work in the Mercantile. • 3rd Annual Arts Roundtable Forum ➢ The Arts Roundtable Forum will be held on Wednesday, October 24, 2013 from 2:00 — 5:00 p.m. •A Follow-up with 2011 Forum outcomes — none ❖ Assignments for 2012 Forum- a special meeting will be held to work on this — June 12a' at 4:00 p.m. d• There was discussion about possibly filming the event this year • Business Awards ➢ The criteria was read and reviewed by the Commissioners. Then the list of businesses that have contributed was reviewed. Discussion followed regarding the businesses and their commitment to the City's Arts programs. ➢ The sub -committee, along with Cathy Mirelez, will now move forward and bring their recommendations back to the Commission. • Arts Passport ➢ Chair Harris stated that this would be a way for businesses to buy into the Arts — symphonies, plays, etc. People would get a pass (free) to attend an event that they had never been to. (groups have to agree to donate). The passports would either be sold or given free of charge. ➢ Discussion followed. All felt if you give someone an opportunity to attend an event they will. An incentive was also suggested. ➢ A sub -committee for this possibility is Commissioners Heath, Scariot and Dunkle. • Webpage ➢ Maria De Leon reviewed the Commission's plans and ideas from the recent past for an updated, higher tech webpage. ➢ Discussion followed. This will be put on the June agenda for selection of a sub- committee. • ACC Priorities for 2012 ➢ Commissioner Heath •A Historian for ACC/taking pictures ❖ Attend as many Arts functions as possible ➢ Commissioner Villalba-Navarette ❖ More event involvement/participation/time designation ❖ Pasco participation/provide creative ideas ➢ Commissioner Scariot Arts Roundtable Forum d• Arts Passport Project ➢ Commissioner Dunkle ❖ More "funstuff', special events/collaborations ❖ Community building designation ❖ More fundraising ➢ Commissioner Willard ❖ ACC & PAC collaboration for Arts in the Park Branding/Arts & Culture Commission recognition ➢ Chair Harris Personally contact people to invite to Arts -related events ❖ Branding — flags/banners — Arts Are Alive in Gilroy Memorial Day Parade 2012 ➢ Commissioner Dunkle informed the Commission that he has a convertible they could use in the parade. Commissioner Villalba-Navarette stated he also has one. ➢ Commissioner Scariot and Chair Harris will be doing the signs for the cars. ➢ Commissioner Willard will supply the Memorial Day decorations. ➢ Commissioner Dunkle will be responsible for registering the Arts & Culture Commission as participants in the parade. • ACC's Budget ➢ The Commission was given an explanation regarding the city budget, program budgets and 801 monies. ➢ Maria De Leon also told the Commission that they are always able to attend a City Council meeting and let them know that they would like monies given to the Arts groups. • Possible ACC Scholarship Fund ➢ Commissioner Villalba-Navarette reminded the Commission of his idea of the Arts & Culture Commission sponsoring a yearly scholarship to an Art student. He also presented the guidelines for the fundraiser that would be held to raise the funds for the scholarship. • Unanswered Questions from New ACC Commissioners/Others ➢ None • What have we done to improve the Arts & Culture in Gilroy this past year?
