06/12/2012 Arts and Culture Commission Regular Meeting Adopted 08/14/2012CITY OF GILROY MINUTES OF THE REGULAR MEETING OF THE ARTS AND CULTURE COMMISSION 5:00 P.M. June 12,2012 CALL TO ORDER The meeting was called to order at 5:04 p.m. by Chair Harris. SECRETARY'S REPORT All Commissioners were present except Commissioner Heath who was excused and Commissioner Villalba-Navarette who was absent. GHS Student Representative Arellano was excused and CHS Student Representative Burns was absent. APPROVAL OF MINUTES Motion made by Commissioner Dunkle to approve the Retreat Summary of May 4, 2012. Commissioner Scariot seconded the motion. Hearing no objections, it was so ordered. Motion made by Commissioner Scariot to approve the minutes of May 8, 2012. Commissioner Willard seconded the motion. Hearing no objections, it was so ordered. APPROVAL OF AGENDA A motion was made by Vice Chair Morasca to approve the agenda for June 12, 2012, with the stated change of order. The motion was seconded by Commissioner Scariot. Hearing no objections, it was so ordered. INTRODUCTIONS Chair Harris welcomed Mayor Al Pinheiro, Recreation Coordinator Susan Voss, Museum Lead Volunteer Tom Howard and Gilroy Historical Society President Connie Rogers. Chair Harris then invited Mayor Pinheiro to address the Arts & Culture Commission. Mayor Pinheiro, on behalf of the Gilroy City Council and himself, thanked the Commissioners for their service to the City of Gilroy. He then proceeded to give the Commission a recap of what the Council is working on. Chair Harris thanked Mayor Pinheiro for addressing the Commission. AWARDS/RECOGNITIONS None. PUBLIC COMMENT None. OLD BUSINESS A. Discussion/Decision on Next month's Art da Jour Column Chair Harris reported that July's column will highlight new Arts & Culture Commissioners Dunkle and Villalba-Navarette, the Commission's Memorial Day participation, the Garlic Festival and Ardstocats Kids. B. Calendar Updates & Assignments Commissioner Dunkle will send the calendar notifications under his name, rather than that of Sondra Banks. Commissioner Dunkle also explained the entire procedure to Commissioner Willard who missed the explanation of the calendar at the May meeting. C. Update on Arts & Business Award There was no report as the sub -committee has not met yet. This will be put on July's agenda. D. Reminder of Brown Act Rules Chair Harris reminded the Commissioners about no more than three (3) Commissioners meeting at any given time outside of a regularly scheduled, noticed meeting. She also requested that rather than having conversations after meetings that those topics be brought up during the meeting. NEW BUSINESS A. Plan for Removal of Deaccessioned Museum Items The Commission was addressed by Recreation Coordinator Susan Voss, Museum Lead Volunteer Tom Howard and Gilroy Historical Society President Connie Rogers. Motion was made by Commissioner Scariot to recommend to the Gilroy City Council to approve this plan for Removal of Deaccessioned Museum Items. The motion was seconded by Vice Chair Morasca. Hearing no objections, it was so ordered. B. Selection of Sub -Committee to work on Webpage Project Commissioner Dunkle voiced his concerns about the pros and cons of doing a separate website. He also felt that it might make more sense to use what is already out there, i.e.; Dispatch, Patch.com, GAA; etc. It was decided that a sub -committee should be chosen to research this topic and bring back recommendations to the Commission. Motion made by Commissioner Willard that Commissioners Dunkle and Chair Harris be on the sub -committee. Motion was seconded by Vice Chair Morasca. 2 This matter will be put on July's agenda to select the 3rd member for this sub- committee. C. Discussion Re: Arts Passport Project It was the consensus of the Commission that this topic should be brought up at the Arts Roundtable Forum to get the businesses' take on the idea. So, this will be tabled and put on the January 2013 agenda. D. Discussion on Tee Shirts for Arts & Culture Commission This was put on the agenda as a result of a Retreat discussion. Both Commissioners Dunkle and Scariot have resources, and they are going to check regarding costs. They will report back to the Commission next month. E. Discussion of Possible Arts & Culture Commission Events Chair Harris reminded the Commission that the events the group is involved in are: ➢ Arts Roundtable Forum ➢ Memorial Day Parade ➢ Garlic Festival Suggested additions to these events are: the Rally Round Group (Gary Walton) or a take on it — GATA - Gather Around the Arts (Chair Harris) and sponsoring a table at Kids Discover Arts (Commissioner Dunkle). Commissioner Dunkle also mentioned the GDBA Wine Stroll turning into a Wine & Art Festival. Cathy Mirelez gave him the history of the former Art & Wine Festival sponsored by the City of Gilroy. Commissioner Scariot also informed him of the Gilroy Arts Alliance's sponsorship/involvement with Art & Wine Festivals. PUBLIC ART COMMITTEE UPDATE See Commissioner Willard's attached reports for May 8, 2012 and June 12, 2012. GILROY ARTS ALLIANCE UPDATE See Commissioner Heath's attached report. STAFF REPORT A. Cultural Arts Programs/Events • Summer programs are beginning June 18th, and Summer Staff Training is taking place this week. This is one of the busiest times of year for Recreation! • I will be purchasing the tiles and other supplies/materials for the Public Art Committee's Tile Project at San Ysidro Park this week. • I will be supervising the Department's 4th of July Fireworks Booth to benefit Adaptive Recreation & Youth Programs this summer, with assistance from Susan Voss. Susan and I are currently recruiting volunteers to fill our required slots. Should you be interested (ol anyone else you might know) we would love your help! • Disney's Aristocats Kids will be performing in July at the South Valley Middle School Cafeteria/Multi-Purpose Room. More details to follow! We are also recruiting for volunteers to sell tickets at Gate 92 at the Garlic Festival, on Friday, July 27th, with proceeds to benefit Kids Discover Arts! July is going to be a busy month!! B. Museum Projects/Tours/Displays The previous presentation regarding deaccessioning is the report for this month. STUDENT REPRESENTATIVES None. STAFF COMMENTS None.
