02/12/2013 Arts and Culture Commission Regular Meeting Adopted 03/12/2013CITY OF GILROY MINUTES OF THE REGULAR MEETING OF THE ARTS AND CULTURE COMMISSION 5:00 P,M. February 12, 2013 CALL TO ORDER The meeting was called to order at 5:01 p.m. by Commissioner Morasca. SECRETARY'S REPORT All Commissioners were present except Chair Harris and Vice Chair Scariot who were excused. Sondra Banks informed the Commissioners that Commissioner Villalba- Navarette resigned from the Commission because of health issues. CHS Student Representative Burns was present and OHS Student Representative Arellano was absent. APPROVAL OF MINUTES Motion made by Commissioner Dunkle to Commissioner Armenta seconded the motion. Hearing no objections, it was so ordered. approve the minutes of January 8, 2013. APPROVAL OF AGENDA Motion made by Commissioner Dunkle to approve the agenda for February 12, 2013, with stated change of order. The motion was seconded by Commissioner Bottini. Hearing no objections, it was so ordered. INTRODUCTIONS None. AWARDS/RECOGNITIONS None. PUBLIC COMMENT None. OLD BUSINESS A. Discussion/Decision on Next month's Art du Jour Column The following were suggested for the next column: New Exhibit at City Hall - featuring the works of local photographer Rachelle Bedell Gilroy Museum — items for sale and encourage folks to visit New production at Pintello Comedy Theater and possible feature on Rod & Marion Pintello B. Calendar Updates & Assignments Commissioner Dunkle reiterated his desire to have another Commissioner take over the calendar updates so that he can devote more of his time on the Commission's website page, etc. Unfortunately, no one expressed a desire to take over this task. Commissioner Dunkle will keep it updated for the next month. Commissioner Dunkle gave a brief report to the Commission on the meeting with the City's IT web designer, Jimmy Salandanan. This will be discussed in greater detail at the Retreat. C. Paseo Project Update Due to Richard Villalba - Navarette's resignation, another Commissioner needs to be chosen to represent the ACC on this project. This will be put on the March agenda. NEW BUSINESS A. Gilroy Museum Annual Report Tom Howard presented the Gilroy Museum's annual report (see attached). Commissioner Morasea thanked Mr. Howard for a very thorough report and all his hard work at the Museum. B. Gilroy Historical Society's Recommendation for Disbursal or Retention of the Annual Income from the Gilroy Museum Endowment Trust Gilroy Historical Society President Connie Rogers addressed the Commission and requested that the interest from the Gilroy Museum's Endowment Trust for 2012, 436.44, be reinvested (see attached letter). A motion was made by Commissioner Bottini approving the Gilroy Historical Society's recommendation to re- invest the $436.44 interest amount accrued on the Gilroy Museum Endowment Trust Fund for 2012. The motion was seconded by Commissioner Armenta. Hearing no objections, it was so ordered. Commissioner Morasca thanked Ms. Rogers and Recreation Coordinator Voss for all their work on behalf of Gilroy's Museum. C. New Date for Annual Retreat Staff will contact Chair Harris to find out when she will be able to attend a Retreat. The general consensus is that a weeknight may be more convenient for everyone — a Wednesday or Thursday night. Staff will email Chair Harris to get an update on her availability. D. Open Government Ordinance Training — Date for Commission Training Sondra Banks reported that 4 of 7 Commissioners never did the required OGO training for 2012. Therefore, the City Clerk has asked that all Commissioners do the training as a 2 group. The Commissioners asked that they be given the opportunity to complete the training before the March meeting_ and notify the City Clerk. This will be reviewed at the March meeting. PUBLIC ART COMMITTEE UPDATE See attached report. GILROY ARTS ALLIANCE UPDATE — Commissioner Morasca Commissioner Morasca reported the following: Limelight Theater's current production now being performed at the Gilroy Interim Center for the Arts (Feb 1sr_23rd) is Cemetery Club; February - March is the exhibit of Stage Costumes and there will be a reception on March 2nd; Dave Dunkle is a new Gilroy Arts Alliance Board member. STAFF REPORT - Cathy Mirelez A. Cultural Arts Programs/Events Arts & Culture Commission members to volunteer /staff the "Little Artist Art Kits" table at Kids Discover Arts, on Saturday, March 2nd. They will each take a shift during the event. Phyllis Armenta: 8:30 —10:00 a.m. Barbara Botini: 10:00 a.m. —12:00 p.m. Dave Dunkle: 12:00 —1:15 p.m. Myself, Susan and Renee Harrigan are busily preparing for the Kids Discover Arts event! The Recreation Department is currently planning our Summer Activity Guide and related programs, activities and events Theater Director Michelle Serrano is conducting rehearsals for the Spring Theater production, Disney's Little Mermaid Jr. which will perform in April at the Gilroy High School Theater Electronic file of the Strategic Plan will be sent to Articulate Solutions for printing and copies will be distributed to new Commissioners B. Museum Projects/Tours/Displays View the new historic display located in the cases in City Hall, that features local work of renowned architect William Weeks The Mayor's display that was formerly exhibited in the City Hall cases, is now on view in the rotunda at the Gilroy Museum STUDENT REPRESENTATIVES Christopher High School Representative Jordan Burns reported the following: freshman orientation (2 Fridays ago) - the drama class did a great skit about freshman at the orientation; Jordan also demonstrated the pottery wheel and how it works at the orientation as well (she received some good feedback); the National Honor Society went to Stanford to visit the art museum, "it was great"; senior play is Sweeney Todd performances are this weekend; on Feb. 28th; there will be a Silent Art Auction fundraiser in the Library from 5:00 — 8:00 p.m.; in April CHS will be collaborating with Gavilan performing Bye Bye Birdie; the Spring Fling and choir concert is coming up in April. Commissioner Dunkle asked Ms. Burns to send him an email as to what is happening at Christopher High so it can be included on the Arts & Culture Commission calendar. STAFF COMMENTS None. ADJOURNMENT Commissioner Morasea adjourned the meeting at 6:05 p.m. FUTURE MEETING The next regular meeting of the Arts & Culture Commission will be held on Tuesday, March 12, 2013, at 5:00 p.m. in City Council Chambers located at 7351 Rosanna Street, Gilroy, CA.
