04/25/2013 Arts and Culture Commission Special Meeting Adopted 05/14/2013ARTS AND CULTURE COMMISSION RETREAT SUMMARY APRIL 25, 2013 The Retreat was called to order at 5:21 p.m. by Facilitator Maria De Leon. All Commissioners were present (Vice Chair Seariot 5:58 p.m.) except Commissioner Dunkle who was excused. Discussion Topics: 1. State of the Arts & Culture Commission a. Review of the Commission's progress towards Strategic Plan The Commission went through the timeline in the Strategic Plan to see what has been completed. 2010 — the Commission was on track; 2011 — the Roundtable has done some collaboration but more needs to be done; Cathy Mirelez stated that she has $1,000 in her budget to be used on a collaborative event. Maria De Leon suggested a free movie night jointly with GAA, PAC and ACC. It could be downtown on the lawn next to the Interim Center for the Arts and the City would provide staff for it. It would cost some monies for the movie rights. Ms. De Leon will invite Cathy Mirelez and Chair Harris to the monthly meeting she has with GAA Board Chairman Kevin Heath. Chair Harris brought up possibly putting ACC Banners on the light poles downtown. Discussion followed regarding the suggestion and obtaining grants. Staff will find out if the poles belong to the City or Cal Trans, how many poles there are and what would the approval process include. b, Review of Commission's "801 " account Cathy Mirelez distributed a copy of the Commission's 801 account spreadsheet. The Current balance is $1,543.86. 2. Community Outreach/Events a. Determine list of ACC - sponsored events to be done in 2013 or determine events the Commission will participate in to help develop interest in Gilroy's Arts and Culture community Collaboration with GAA, PAC and COG on a Movie Night, Joint Meetings with GAA and Public Art Committee Banners for light poles b. Establish sub- committee(s) Will be done at May meeting if projects are approved c. 2012 Events: Memorial Day Parade, Garlic Festival, Arts Roundtable Forum, Annual Presentation to Council Possible Follow -up to 2012 Roundtable Forum a. List actions the Commission will take to develop the bond between arts and business, i.e. Arts Passport Discussion followed and some felt it was too late to follow -up regarding the October 2012 Roundtable. Chair Harris mentioned that having a possible scavenger hunt in regard to the 2012 attendees. She has to figure out the logistics and will present to the Commission at a later time. Vice Chair Scariot threw out the possibility of having the Roundtable every other year and meet with Artists on the odd year. Chair Harris suggested bringing in an outside group such as the School of Arts & Culture of the Mexican Heritage Plaza to speak b. 2012 Actions: Business Awards/Roundtable Participants/Holiday Cards /Follow -up All agreed that Holiday cards should be sent out again this year 4. Communications/TooIs/Processes a. List tools aimed at improving our ability to communicate and market the Commission amongst ourselves and to the Gilroy community Table until Commissioner Dunkle is in attendance. b. Report on the City's restriction/guidelines (Commissioner Dunkle Go to Council and ask for them to support GAA. Maria De Leon suggested that a better time, to do that would be when the bond issue is the "hot topic," Discussion continued. c. Presentation of potential tools (Commissioner Dunkle) d.
