CALL TO ORDER
The Parks & Recreation Commission Retreat began at 9A0 a.m. with an ice breaker lead by
Retreat Facilitator Maria De Leon. It was enjoyed by all.
SECRETARY'S REPORT
All Commissioners were present except Commissioners Enriquez and Puente who were excused.
DISCUSSION TOPICS
Duties & Responsibilities of a Parks & .Recreation Commissioner
Maria De Leon reviewed Section 911 of the City of Gilroy Charter that pertains to a
Parks & Recreation Commissioner's role on the Commission. Questions followed
regarding attendance. Cell phone usage was also discussed. It was noted that general
texting should not be done during meetings. A family emergency would be the
exception. This will be put on the March agenda for those who were not in attendance.
Sondra Banks reminded the Commission that the deadline for submitting agenda items is
the 2nd Tuesday of the month by Noon..
Cleaning of PRC Adopted Park (Miller Park)
Commissioner Scheel reminded the Commissioners that a 2 -year commitment was made
to clean Miller Park and the time was now up. She wondered how others felt about
adopting another park now that each commissioner was taking care of a specific park.
She felt that the original commitment wasn't necessary. The parks that are being perused
are: Carriage Hills, Sunrise, Los Arroyos, Del Rey, San Ysidro, Rainbow, Christmas Hill
Park, El Roble and the Sports Park.
This will be put on the March agenda for further discussion and vote.
Commissioner Garcia asked is the playground equipment in the parks is cleaned with
pressurized hoses. She also wanted to know how often they are cleaned. Due to David
Stubchaer's absence, staff will be sure that he is prepared to answer that question at the
Commission's March meeting.
Planning of SKFundraiser —October 25, 2014
Commissioner Garcia suggested that the Commission dress up with a costume theme for
the upcoming October 25, 2014 fundraiser. Commissioner. Berry stated that the planning
for this event begins at the end of July (after the Kids Triathlon). This item will be put on
the March agenda to select a sub - committee.
Black Bear Fundraiser
Commissioner Berry reported that $400 was made the first year of this fundraiser. 2013
raised $500 (but the check hasn't been received yet). Staff will check with Sandra
Sammut regarding receipt of the check. Commissioner Berry also informed the
Commission that she passed out flyers to Community Solutions and Social Services as
well as donating a $25 gift card for a City of Gilroy participant to win as a raffle prize for
their participation. This item will be put on the March agenda to select a sub - committee.
Staff Appreciation Breakfast — September 11, 2014
Maria De Leon informed the Commission that it was suggested that if the Commission
was going to put this event on in 2014 that it be done at the Corporation Yard to give the
Operations employees more of an opportunity to participate. Recreation staff will travel
over there. This item will be put on the July agenda.
Kids Discover Arts Update
Maria De Leon informed the Commission that there would be a mini KDA held on
September 20th at Wheeler Community Center. Then in March of 2015 there will be the
regular one held. The March 2014 event had to be cancelled due to circumstances
beyond the Recreation Department's control.
Message from Parks & Recreation Commission Chair or Vice Chair in every
Activity Guide
Commissioner Scheel expressed her desire to see a message from the PRC in every
Activity Guide. Sondra Banks explained that former Chair Berry's message was not in
the last guide due to a space issue. The message is always included unless there is lack of
space.
Information/Reports Re¢ardinz Gilroy Gardens
Commissioner Scheel expressed a desire to be kept informed on what is happening at
Gilroy Gardens. Maria De Leon reported that Tom Haglund will give her bullet points to
report to the Parks & Recreation Commission that are relative to the Commission.
Final Thoughts
Maria De Leon shared the following:
Recreation Department will be partnering with Gilroy Gardens again this summer
for five (5) weeks of summer camp to be held at GG for a fee. During the
summer of 2013 it was done for two (2) weeks but was so popular parents
requested a longer program this summer.
There will also be summer camp at Las Animas for which a fee- is charged as
well. But, there is a reduced rate for qualifying participants.
Lastly, there is free camp offered at the Youth Center at San Ysidro Park.
The Recreation Department Monthly E- Newsletter received a 2014 CPRS Award
for Social Media serving 50,000 - 100,000 city populations. Two (2) staff

members will attend the CPRS Awards Banquet in Ontario on March 7th to
accept the award.
The Recreation Department received a $6,200 grant from Kaiser to sponsor three
3) Party in the Park events — 3 Friday nights — one in June, July and August.
The first will concentrate on physical fitness and healthy living (Zumba
classes); the second will highlight public safety (Juvenile Jeopardy) and the third
will feature available Gilroy community and social services in the Gilroy
community.
The Commissioners commended the staff on the wonderful job they do.
The Retreat adjourned at 11.00 a.m.
