Tuesday, March 17, `2015 CALL ORDER The regular meeting of the Parks and Recreation Commission was called to order by Chair Garcia at 6:02 p.m. SECRETARY'S REPORT Commissioners present: Terrie Berry, Julie Garcia, Moe McHenry and Rebecca Scheel Commissioners Excused: John Almash, Brittany Lehman, Ennelindo Puente APPROVAL OF MUSUTES Motion made by Commissioner Berry to approve the minutes of February 17, 208. Motion was seconded by Commissioner McHenry. Motion passed unanimously (4-0-3, Commissioners Almash, Lehman, and Puente were absent). APPROVAL OF AGENDA Motion made by Commissioner McHenry to approve the agenda for March 17, 2015. Motion was seconded by Commissioner Scheel. Motion passed unanimously (440, Commissioners Almash, Lehman, and Puente were absent)). INTRODUCTIONS None. AWARDS/RECOGNITIONS None. PUBLIC COMMENT None. OLD BUSINESS A. Report on CPRS Award Banquet and CAPRCBM Award Banquet Chair Garcia passed out the program from the CPRS District 4 Awards Banquet. She stated that it was a very nice event. Commissioner Berry stated that Commissioner Scheel did a nice job of accepting the award at the CAPRCBM Banquet. She dedicated it to Recreation Coordinator Anna Bielecki who was the catalyst for the Great Garlic 5K event and the Staff Appreciation 1 event (as a former Parks & Recreation Commissioner). Commissioner Scheel enjoyed the banquet as well. A CAP13RCM board member spoke with them about some of the current Gilroy Parks & Recreation Commissioners joining as they are in need of members from Northern California. B. Quarterly Report on Youth Scholarship_ Funds & Distribution (Apr, Jul, Oct_, Jan) None. NEW BUSINESS A. Possible Fundraisers for 2015 — Fro Yo, Black Bear, Others Chair Garcia reported that Kim from Fro Yo informed her of the following in regard to having a fundraiser — July is her busiest month; weekends are hit or miss, have in conjunction with another event (i.e. day after the Triathlon so you can advertise it at the event); we could buy gift cards from Fro Yo at a discount and then sell them (they will buy back what the Commission doesn't sell). Commissioner Scheel also suggested having a fundraiser at Yogh Art. She will talk to them about what needs to be done and report back at the April meeting. Motion made by Commissioner McHenry that a Fro Yo Fundraiser be held on July 18th and 19th and that the notice be put in the Summer Activity Guide. The motion was seconded by Commissioner Berry. Motion passed unanimously (4-0-3 Commissioners Almash, Lehman & Puente were absent). Motion made by Commissioner Scheel that she contact Yogh Art about having a fundraiser there. The motion was seconded by Commissioner Berry. Motion passed unanimously (4-0-3 Commissioners Almash, Lehman & Puente were. absent). B. Selection of Date for Annual Parks & Recreation Commission Meeting in the Park — June 16, July 21, or August 19, 2015 Tabled until April meeting since three (3) commissioners were absent. C. Selection of Date for Annual Staff Appreciation Breakfast — September 10, 2015 Motion made by Commissioner Berry to have the Annual Staff Appreciation Breakfast on Thursday, September 10, 2015 at the Corporation Yard beginning at 8:00 a.m. The motion was seconded by Commissioner McHenry. Motion passed unanimously (4-0-3 Commissioners Almash, Lehman & Puente were absent). 2 D. Discussion and Vote on Parks & Recreation Commissioner's Committee Assignments Tabled until April meeting since three (3) commissioners were absent. PROGRAM UPDATES Recreation (Recreation Supervisor Judy Mireles-Janisch): See attached report. Operations (David Stubchaer, Senior Engineer & Operations Manager): See - attached report. Also, Mr. Stubchaer reported that he was told by his staff that the play equipment at Sunrise Park has been fixed. He plans on going to the park himself to be sure. He also informed the Commissioners that the CIB Budget report for the next two-year budget will be presented at the April 2015 meeting of the Parks & Recreation Commission. Commissioner Scheel wants to know what is going to be done where the tree stamp at Rainbow Park is located. This will be put on the April agenda for discussion. She urged the Commissioners to go to the park so they will be familiar with the area being discussed. COMMITTEE REPORTS Bicycle_ Pedestrian Commission None. Gang Task Force None. GPAC Commissioner Scheel reported on the March meeting. Because the agenda for this meeting (discussing Land Use) wasn't completed, there will be another meeting Wednesday, March 18th at the Gilroy Library beginning at 6:30 p.m. There were approximately 160 residents at the Eliot School Community Workshop meeting. Library Commission None. Youth Commission None. COMMISSION PARK REPORTS & .COMMENTS Commissioner Scheel — Rainbow Park looks good. Commissioner McHenry — He enjoyed the CAPBRCM Awards Banquet. Commissioner Garcia — She thanked staff for nominating the Commission for the Awards. 3 Commissioner Berry — She thanked staff for the annual Retreat; hosting the Giants and for making her a VIP; the Pampered Princess event (put on by the Youth Commission) was fabulous. She also reminded everyone that the Volunteer Dinner is this Thursday. March 19th. STAFF COMMENTS None. ADJOURNMENT Chair Garcia adjourned the meeting at 6:42 p.m. FUTURE MEETING The next regular meeting of the Parks and Recreation Commission will be held on Tuesday, May 19, 2015 at 6:00 p.m. at City Council Chambers, 7351 Rosanna Street, Gilroy, CA 95020.
