02/26/2024 Youth Commission Special Page 1 of 2 City of Gilroy Youth Commission Meeting Minutes Monday, February 26, 2024 | 6:00 PM 1. CALL TO ORDER The meeting was called to order at 6:00 p.m. by Chair Nguyen. 2. FLAG SALUTE 3. PUBLIC COMMENT ON ITEMS NOT ON THE AGENDA None. 5. OLD BUSINESS 5.1. Discussion of status of OpportuniTEEN Fair 2024 The Commission reviewed the OpportuniTEEN Fair vendor list of those organizations that were undecided. The Interact Club and Community Solutions confirmed that they would be able to attend The following organizations are not able to attend: AFS, Camp Campbell, Downtown Gilroy Business Association, Fifth Street Coffee, Gilroy Bowl, Oakwood Summer Camp, Poki Bowl, Santa Clara County Parks, and Walden West. The Commission also discussed marketing ideas for the event: • The flyer will be updated by Reynolds and will be posted on social media channels and distributed to schools. • Reynolds and Nguyen will create a Instagram countdown campaign. Reynolds, Lai, and Nguyen will interview vendors and post those videos online. They will also include footage for ASB at their schools. • Garcia will post a flyer at Starbucks. • Ask vendors to spread the word. • School announcements. In addition, the following was also discussed: • Contact vendors ahead of the event to inform them about what to bring (i.e., table covers, informational brochures, swag, a gift for the raffle, etc.) • A placement map of all the vendors and be available to distribute to students on day of event. February 26, 2024 6:00 PM Page 2 of 2 Youth Commission Special Meeting Minutes • MCs will be Nguyen and Francis. • Reynolds will be in charge of the music playlist. • Providing pre-packaged snacks was discussed. • Regarding the passport, participants will need to have 10 stamps on their passport to be eligible for the raffle, which will comprise of gift cards. They’ll also need to take a selfie with at least 3 of the vendors they visited. Committees will meet with staff on the following days: • Marketing Committee (Saed, Jaime, Melanie, Gianna) - will meet on Monday, March 4 at 5pm. • Vendor Committee (Aiden, Saed, Jaime, Biruh) - will meet on Monday, March 4 at 5:30pm. • Event Details Committee (Emily, Alfred, Sophie, Maya) - will meet on Tuesday, March 5 at 4:30pm. 6. AGENDA ITEMS FOR NEXT MEETING None. 7. STAFF/COMMISSIONER COMMENTS Reminder that commissioners who want to participate in the YAC Attack Conference need to have their parents complete the waiver and release of liability form online, which staff forwarded in an email. 8.
