01/14/2013 Youth Commission Regular Meeting Adopted 02/11/2013CITY OF GILROY MINUTES OF THE REGULAR YOUTH COMMISION MEETING 6:00 P.M. Monday, January 14, 2013 CALL TO ORDER The meeting was called to order at 6:06 p.m. by Vice-Chair Cabatingan. INTRODUCTIONS None. ROLL CALL & SECRETARY’S REPORT All commissioners were present except Chair Triolo who was excused. Others present: Recreation Specialist Julian Mireles. APPROVAL OF THE MINUTES Commissioner Medina motioned to approve the minutes of December 10, 2012 and Commissioner Dorn seconded the motion. Hearing no objections, it was so ordered. APPROVAL OF THE AGENDA Commissioner Kang motioned to approve the agenda for January 14, 2013 and Commissioner Miner seconded the motion. Hearing no objections, it was so ordered. COMMITTEE REPORTS Commissioner Kang provided a report on the January 9, 2013 Gilroy Gang Task Force Meeting. PUBLIC COMMENT None. OLD BUSINESS A. Discussion of Events/Activities for the Year Recreation Coordinator/Advisor Bielecki reviewed the Calendar of Events with the Youth Commission. Future events were discussed and the calendar was finalized. Ms. Bielecki discussed the upcoming Youth Summit on January 19th and passed out video release forms. Ms. Bielecki also discussed the CPRS Conference in San Jose and passed out permission slips along with an informational letter. The discussion was concluded with information about the “Battle of the Arts” event scheduled for May 18, 2013. Commissioner Dorn motioned to approve the Calendar of Events and Commissioner Cabatingan seconded the motion. Hearing no objections, it was so ordered. B. Continued Discussion on Fundraising Efforts Recreation Coordinator/Advisor Bielecki continued the discussion on fundraising with the mention of donation letters. The discussion was concluded with a call of action from Ms. Bielecki to continue fundraising efforts. C. Discussion of Theme for Senior Ball on Saturday, April 6, 2013 Recreation Coordinator/Advisor Bielecki continued the discussion for finalization of the theme for the senior ball. Commissioner Dorn presented the three themes narrowed down from the last discussion: Casino Royale, Masquerade, and the Roaring Twenties. Themes were discussed based on possible activities and decorations. The theme of Casino Royale was voted upon and finalized. Motion was made Commissioner Miner to have Casino Royale as the theme for the 2013 Senior Ball. The motion was seconded by Commissioner Baxter. Hearing no objections, it was so ordered. NEW BUSINESS A. Discussion & Planning for “Battle of the Arts” Event on May 18, 2013. Recreation Coordinator/Advisor Bielecki mentioned that the event is being set in motion and the date and location are finalized. Discussion was continued about categorizing talent, venue set-up, concessions, prices and profit, advertising, and audition dates. The meeting was concluded by setting the audition date for May 4, 2013 starting at 10:00 a.m. and setting the application due date for May 27. Ms. Bielecki also asked the Youth Commissioners to seek out potential members for the Youth Commission to fill the slot vacated by Commissioner Voorhees.
