Monday, May 14, 2018 CALL TO ORDER The meeting was called to order at 6:10 p.m. by Chair Sabharwal. ROLL CALL & SECRETARY'S REPORT Members Present: A. Apte, K. Apte, Chargin, Fajardo,. Kolagotla, Pace, Sabharw_ al, Sanchez Del Real and Song (late) Members Excused: None Members Absent: Athwal Staff Present: Monica Sendejas The agenda for the Youth Commission regular meeting was posted in the public notice cabinet at City Hall on Wednesday, May 9, 2018 at 4:27 p.m. The agenda and May Meeting Packet were distributed to Commissioners on Wednesday, May 9, 2018 at 4:43 p..m. and were posted to the City website on Wednesday, May 9, 2018 at 4:40 p.m. APPROVAL OF THE MINUTES Motion was made by Vice Chair A. Apte to approve the minutes of the April 9, 2018 regular meeting as written. The motion was seconded by Commissioner Fajardo. The motion carried unanimously with an 8-0-0 vote (Commissioner Song was not present for this vote). APPROVAL OF THE AGENDA Motion was made by Commissioner Kolagotla to approve the agenda for May 14, 2018. The motion was seconded by Vice Chair A. Apte. The, motion carried unanimously with a 9-0-0 vote. PUBLIC COMMENT None. OLD BUSINESS A. Debrief on Pampered Princess Party on April 14, 2018 — Staff Sendejas reported the following: $283.47 was spent on the event, $70.70 cash was placed in the tip jar and donated to the Recreation Department Youth Scholarship Fund, Costco donated $50 for snacks and water, 64 participants. signed -in for the event, and 25 volunteers (including Youth Commissioners) helped with the event. Staff Sendejas sent Costco a thank you donation letter on behalf of the Youth Commission and circulated 'a thank you card for Mr. Chargin for taking pictures at the event. The Youth Commissioners shared their feedback: they liked the layout of the stations and that thought it provided an easy flow for participants; felt overall the event was successful; turnout was good and it felt like there were more than 64 participants present; we were set-up early and ready to go for early arrivers; and, we should invite Hula .again next year as they did a great job. The Commissioners suggested the following changes for next year: look at ways we can include boys, perhaps with a superhero theme; better publicity by having all Commissioners responsible for publicizing the event instead of just one Commissioner; have more volunteers at the nail station; and, maybe move the event back to early March. B. Website Design Project Development — Vice Chair A. Apte reported everything on the website is updated with the information provided by the Commissioners. A motion was made by Vice Chair Apte to use Gilroy Youth Opportunities (GYO), pronounced G-yo, as a domain name for the website. The motion was seconded by Commissioner Kolagotla. The motion carried unanimously with a 9-0-0 vote. A motion was made by Vice Chair Apte to pay for the domain fees in October when the Youth Commission begins meeting again at a rate of less than $120 per year. The motion was seconded by Commissioner Pace. The motion carried unanimously with a 9-0-0 vote. NEW BUSINESS A. Meeting Calendar for 2018-2019 - The Commission reviewed the calendar. A motion was made by Commissioner Song to approve the 2018-2019 Meeting Calendar as written. The motion was seconded by Commissioner Fajardo. The motion carried unanimously with a 9-0-0 vote. COMMITTEE REPORTS A. GPAC — Vice Chair A. Apte reported GPAC meetings are postponed indefinitely until a study is completed. AGENDA ITEMS FOR NEXT MEETING Website Select a retreat date Review bylaws STAFF COMMENTS Staff Sendejas shared the Youth Commission had been invited to participate in the Memorial Day Parade. After discussion, the Commissioners elected to respectfully decline the invitation. ADJOURNMENT A motion was made by Commissioner K. Apte to adjourn the meeting. The motion was seconded by Commissioner Kolagotla. The motion carried unanimously with a 9-0-0 vote. Chair Sabharwal adjourned the meeting at 6:39 p.m. FUTURE MEETING The next regular meeting of the Youth Commission will be held' on Monday, October 8, 2018 at 6:00 p.m. in the Gilroy Senior Center Meeting Room.
