Monday, December 10, 2018 CALL TO ORDER The regular meeting of the Youth Commission was called to order by Vice Chair Justin Fajardo at 6:03 p.m. FLAG SALUTE SECRETARY'S REPORT The amended meeting packet was posted on the City's website on Friday, December 7, 2018 at 11:29 a.m. and the amended agenda was posted in the Public Notice Cabinet on Friday, December 7, 2018 at 11:13 a.m. ROLL CALL Members Present: Commissioner Bryan Alonso, Commissioner Kenneth Apte, Commissioner Bettye Chargin, Commissioner Elizabeth Van Sambeek, Vice Chair Justin Fajardo, Commissioner Senna Kolagotla, Commissioner Edwin Lopez, Commissioner Vikash Sabharwal, Commissioner Paul Song and Commissioner Jane Tovar Members Excused: Chair Akash Sabharwal Members Absent: None Staff Present: Monica Sendejas and Vince Bautista APPROVAL OF THE MINUTES Motion was made by Commissioner Kolagotla to approve the minutes of the November 12, 2018 regular meeting as written. The motion was seconded by Commissioner Chargin. The motion carried with a 10-0-1 vote (Absent: Chair Sabharwal). APPROVAL OF THE AGENDA Motion was made by Commissioner Kolagotla to approve the amended agenda for Monday, December 10, 2018. The motion was seconded by Commissioner Apte. The motion carried with a 10-0-1 vote (Absent: Chair Sabharwal). INTRODUCTIONS None. AWARDS/RECOGNITIONS None. PUBLIC COMMENT None. NEW BUSINESS A. Budget for Pampered Princess Party - Commissioner Kolagotla led the discussion of supplies needed and budget amount for the event. The Pampered Princess Party will take place on March 2, 2019 from 9:30 to 11:30 a.m. Each commissioner presented their budget request for their assigned area. Also, the committee requested funds be allocated for party decorations, table cloths and center pieces. After reviewing the budget request for each area of responsibility, the Commissioners agreed that they did not want to spend more than $350 on this year's event. Motion was made by Commissioner Apte to approve a budget of $350.00 for the Pampered Princess Party. The motion was seconded by Commissioner Song. The motion carried with a 10-0-1 vote (Absent: Chair Sabharwal). • Hair — Commissioner Tovar requested small black hair ties, bows, glitter spray and headbands with flowers if available. Commissioner Tovar requested a total of fifty ($50.00) dollars for expenses. • Nails — Commissioner Kolagotla and Commissioner Van Sambeek will work alongside each other in the nails section. Commissioner Kolagotla and Commissioner Van Sambeek asked for nail polish, nail polish remover, q-tips and cotton balls. Commissioner Kolagotla and Commissioner Van Sambeek requested thirty ($30.00) dollars in expenditures. • Arts and Crafts — Commissioner Song and Commissioner Apte oversee all arts and crafts duties. Commissioner Song and Commissioner Apte asked for color pages, jewels, crayons, two (2) packs of stickers and thirty-five (35) additional crowns. An estimated budget of a hundred ($100.00) dollars in expenses for Commissioner Song and Commissioner Apte. • Photo Booth — Vice Chair Fajardo and Commissioner Chargin will be using the same frame as last year. Vice Chair Fajardo and Commissioner Chargin requested party props at Michaels Craft Store. A budget of ten ($10.00) dollars was presented. • Face Painting — Commissioner Vikash Sabharwal requested two (2) face paint packs which include paint and brushes. A total of fifty ($50.00) dollars was estimated by Commissioner Sabharwal. • Music — Vice Chair Fajardo returns as the leader for music. No expenses are needed for Vice Chair Fajardo. • Publicity — Staff Sendejas presented the committee with a draft of the Pampered Princess Party postcard. The Committee unanimously agreed to move forward with the design and approved to finalize. Postcards will be shared for outreach and word of mouth. • Donations — Chair Sabharwal was absent to present the budget. Last year, Chair Sabharwal was able to receive a fifty ($50.00) dollar donation from Costco. • Snacks — Commissioner Lopez asked the committee for fruit snacks and water. Last year, the committee decided to provide the same snacks for a budget of fifty ($50.00) dollars. The fifty ($50.00) dollars was from the donation from Costco. • Hula — The Commission agreed to bring back the Hula dancers. Staff Bautista will be inviting Hula to attend this year's event. No expenses are needed. • Disney Store- Staff Bautista connected with Ariana from Disney and reported that Disney is willing to provide staff to volunteer and help with the event. No expenses are needed. OLD BUSINESS A. Bike to the Future — Staff Bautista reported details on promoting the Bike to the Future Event and provided ten (10) copies to each commissioner for advertising. The Commission motioned to not take part in this event last meeting. However, the Commission decided to support this event during their free time. B. Social with Morgan Hill and San Juan Bautista — Vice Chair Fajardo led the discussion on the status of the social. Vice Chair Fajardo shared that the San Juan Bautista Commissioners plan to attend the Friday, January 25, 2019 social event in Gilroy. The social will take place at Wheeler Community Center, 250 W. Sixth Street, Gilroy from 6:00 P.M. — 8:00 P.M. Activities that the Gilroy Youth Commission had in mind are human bowling, dodgeball, a heads up activity or relay races. In addition, the Gilroy Youth Commission plans to provide pizza and drinks for everyone. Staff Bautista and Staff Sendejas are connecting with Morgan Hill Staff Chique Mejia to attend the social. Staff Chique Mejia is the advisor for the Morgan Hill Youth Commission. The goal is for all three Commissions to collaborate and network. C. Website — Staff Sendejas informed the Youth Commission that the G-Yo.com website will not be able to launch at this time. The City is developing their social media and website guidelines and at this time Commissions are not allowed to have outside websites. Commissions have a page on the City of Gilroy website that is managed by city staff that they are able to utilize. Therefore, the Commission is not able to move forward with the launch and promotion of the website at this time. AGENDA ITEMS FOR NEXT MEETING Update on Pampered Princess Party Social update with Morgan Hill and San Juan Bautista May Presentation to Council STAFF COMMENTS Staff Sendejas will be stepping down and passing the responsibilities to Staff Bautista. ADJOURNMENT A motion was made by Commissioner Chargin to adjourn the meeting. The motion was seconded by Commissioner Kolagotla. The motion carried with a 10-0-1 vote (Absent: Chair Sabharwal). Vice Chair Fajardo adjourned the meeting at 6:44 p.m. FUTURE MEETING The next regular meeting of the Gilroy Youth Commission will be held on Monday, January 14, 2019 at 6:00 p.m. in the Gilroy Senior Center Meeting Room.
