AMENDMENT NO. 1
This Amendment shall become effective when it has been signed by the City Administrator, Project Manager,
and Contractor. All copies forwarded to Contractor for signature shall be returned to the City of Gilroy
properly filled out. Upon acceptance by the City, the Contractor's copy will be returned to him as his authority
to proceed with the work.
This Amendment adds various maintenance sites and or landscape maintenance services
described in the attached proposals and support document LA to 1.K between Valley
Crest Landscape Maintenance, Inc. and the City of Gilroy.

Mike,
This is my email follow -up regarding Downtown hanging Flower baskets maintenance services. We
will not have Downtown volunteers as expecting handling hanging plant maintenance. This is a high
priority issue. We need to authorize you expand your daily Downtown landscape services to include
plant care and irrigation maintenance for the new hanging planter baskets. Please consider this a
field directive begin these additional landscape maintenance service beginning tomorrow August 19tH
2012. We expect to negotiate an increased scope of services for Downtown under a new Request for
Quote to follow this field directive. We will send a formal RFQ for the increased services.
I our phone conversation today You agreed to provide these additional services starting tomorrow.
Thanks for your cooperation and assistance in responding to these short notice landscape needs.
SCOPE OF WORK
We have 18 irrigated pole with planter baskets. Three poles had irrigation made operational
recently and we will add hanging planter baskets with a week for a total of 21 poles with planters.
Chris Weske is working on two poles with original irrigation installation problems that will bring total to
23 poles with 46 hanging planters
1. Check to see if all flower baskets have sufficient moisture on a daily basis
a. If not, water the basket by hand and report the issue to the City if irrigation system can't
be readily corrected by Valley Crest staff.
2. Check and verify the operation of the irrigation system weekly through visual observation or the
presence of dripping water from the baskets
3. Flower basket maintenance — removal and replacement of any dead flowers in the baskets
4. Repair & maintenance of the flower basket irrigation system
5. Cost for increased services and seasonal planter basket replacement by follow -up RFQ

I have not sent a formal RFQ. That is on me and I will get to it as soon as I can. You are welcome to
bill a line item for these services on your next billing cycle based on what net scope of work you feel
has been increase for Downtown services.
If your view of scope turns out different from the formal RFQ that I will be sending, then we will need
to sit down and work it out.
I have a few questions on the Downtown and Civic Center RFQ proposals.
We are in the middle of a major Fish and Game permit project. It will be this Friday before I can get
back to you on these issues.

I'm not sure I received the formal RFQ but that's not the nature of my email. We have our maintenance and care
program numbers ready to go. I wanted to see if you or Chris had any type of specification on the hanging baskets. I
want to send it to the nursery so they can provide us with a quote for the flower rotations. The thought is to have two
sets of baskets; 1) will be the plated unit hanging from the light poles and the other 2) will be at the nursery where the
baskets will be planted and grown for the next flower rotation. Please let me know. I hope you're all doing well!

Remove existing soil to a depth of 9"
Install 4" Conduit and concrete electrical box from existing power source to existing tree
anchor for electrical wire protection
Install and compact 4" of base rock
Pour 4" of concrete to create permanent level surface
Install mortar on concrete, then place 1100 bricks and grout in pattern to match existing
area

off the playing field and a suitable playing surface.

Formal engineer grading specifications, improvement grading plans, and record
drawings are not included in scope of work and will be considered additional
services if required by the City.
4. Irrigation adjustments on the infield turf edge will be made if necessary.
5. The City of Gilroy will spray non - selective weed control to the minor outfield
prior to sod installation per label.
6. Foul lines in the turf shall be protected or re- established if needed.
7. Sod to be approved by City Parks and Landscape staff a minimum of 2 City work
days prior to installation.
8. Construction barriers and signage to deter park visitors in work site area will be
provided by ValleyCrest Companies, Inc.
9. All work will be completed during the month of November weather permitting,
with a maximum number of total rains days at 12.
10. ValleyCrest Companies, Inc will provide an experience workforce to complete
this project. We will execute the scope of work as outlined. ValleyCrest
Companies, Inc will not be responsible or liable for any liabilities or personal
injuries that may occur as a result of people using / playing on these softball
diamonds.

three for Downtown planters emailed 10/18/2012. Please consider this a field directive to
begin landscape planter improvements followed by maintenance services effective tomorrow
Wednesday January 16, 2013. Start of maintenance service fees shall begin after the City has
accepted planter improvements.
A contract amendment documents for review and approval by all parties will be required so
that this scope of work can be added to the contract and City P.O.

Dear Bill,

Miller Slough. We're to provide trash pick -up and supplemental
weed /vegetaion control per program below. Please find below the
quote you requested for the landscape care of this location.
Provide monthly clean -up of slough by walking length and removing
trash - Observe and report any vandalism and transient campsite
damage and or activity to the City in or along the Miller Slough
running from Wren Avenue and Mantelli Drive in Las Animas
Veterans Park up to and including the channel under the Railroad
bridge near Monterey Street. Any large items that one person cannot
reasonably pick -up and remove will be reported to the City; permission
will be requested to remove the item on a time and material basis at a
labor rate of $38.00 per hour plus disposal fees.
Average Monthly Maintenance Fee $635.00
Monthly Irrigation Service Fee $0.00
Supplemental weed / vegetation trimmer crew for Miller Slough
Provide a three person, three power weed trimmer crew for weed and
vegetation control along top of channel bank and channel slope as
requested by City on an as needed basis / $120.00 per hour with four
(4) hour minimum for a single service call. Minimum call -out response
time is three days' notice to schedule vegetation trimming crew which
includes trash and debris removal before in weed trimming area(s).
