July 12, 2016 CALL TO ORDER The meeting was called to order at: 5:32 p.m. by Vice Chair Bruce Morasca. SECRETARY'S REPORT Arts & Culture Commissioners Present: Commissioner Barbara Bottini, Commissioner Janette Contreras, Commissioner Bruce Morasca, and Commissioner Sally Armendariz. Arts & Culture Commissioners Excused: Arts & Culture Commissioners Absent: Chair L. Mattie Seariot Also Present: Susan Voss, Maria De Leon, APPROVAL OF MINUTES Motion was made by Commissioner Sally Armendariz to approve the minutes of the May 10, 2016, regular meeting. The motion was seconded by Commissioner Janette Contreras. The motion carried unanimously with a 4-0-1 vote. APPROVAL OF AGENDA Motion was made by Commissioner Sally Armendariz to approve the agenda for Tuesday, July 12, 2016. The motion was seconded by Commissioner Janette Contreras The motion carried unanimously with a 4-0-1 vote. INTRODUCTIONS Commissioner Bruce Morasca introduced Paul Kloecker of the Planning Commission who was attending the meeting. AWARDS & RECOGNITIONS None. PUBLIC COMMENT None. OLD BUSINESS Update on Movie Night — Vice Chair Bruce Morasca Commissioner Bruce Morasca asked about putting information about the Movie Nights into the City water bill. Maria De Leon reported that there is a cost to insert something into the water bill, such as a leaflet. Commissioner Bruce Morasca encouraged the Commissioners to attend all 3 Movie Nights and to please arrive at around 8 pm. Commissioner Barbara Bottini shared that she will be attending the first two nights but is unable to attend on August 101 Commissioner Janette Contreras will work on the August 19th Movie Night. Commissioner Bruce Morasca will get flyers for the Commissioners to pass out. Commissioner Janette Contreras reported that since school is out she has been unable to ask about borrowing a popcorn machine from the school district. Commissioner Sally Armendariz reported that she will ask her contact with the agency Conexion, to see if they are willing to loan their popcorn machine to the Commission for the Movie Night series. Commissioner Bruce Morasca stated that the Gilroy Arts Alliance owes $75.00 for the Movie Nights. Cathy Mirelez asked Commissioner Bruce Morasca to have the Gilroy Arts Alliance make out the check to the City of Gilroy and she will make sure it is deposited into the correct account. Commissioner Janette Contreras asked if they could have the Arts banners be put up for summer activities instead of at the beginning of the year, starting next year. Bruce thought that was a good idea. Cathy Mirelez suggested that Commissioner Janette Contreras make contact with the Chamber of Commerce and find out about making this change for next year. MONTHLY REVIEW OF STRATEGIC PLAN — Commissioner Bruce Morasca - Update Building Community Partnership awards has been completed. Informational brochure on the bronze sculptures. Cathy suggested keeping all of the information together. Commissioner Bruce Morasca suggested taking one or two items from the list for discussion at each meeting. The Arts Passport Event Commissioner Bruce Morasca suggested perhaps combining it with a wine stroll. Commissioner Barbara Bottini will speak to Kevin regarding any upcoming plays. Maria De Leon suggested planning events as they come up in meetings, rather than waiting until next year, this way; all dates will be well planned in a timely fashion. Commissioner Janette Contreras suggested raffles happening during the Arts passport event. Commissioner Janette Contreras suggested that after each event, feedback should be solicited via a community survey. Commissioner Janette Contreras will ask questions regarding cost of the banners when she makes contact with the Chamber of Commerce. Commissioner Bruce Morasca would like all the Commissioners to come back in September with event ideas for next year. 2 Thank You Notes to Karen LaCorte and Donna Pray — Chair Mattie Scariot Commissioner Janette Contreras had thank you cards at the meeting for all the Commissioners present to sign. Cathy Mirelez will make sure these are mailed. Commissioner Janette Contreras also told the Commission that she will have cards available at all meetings in case they are needed. Arts Database — Update GAA keeps and maintains the database. Commissioner Bruce Morasca will be attending their next meeting and will be seeking an update. Budget and Fundraising to include Fireworks Booth Discussion For every person who volunteered a shift at the 4`h of July fireworks booth, the Arts and Culture Commission 801 account earned $50.00. The Commission earned a total of $450.00 this year from the 4th of July Fireworks booth volunteer efforts. Community Survey Commissioner Bruce Morasca stated that if the Commission wants to have a survey for the Movie Nights, it should be worked on as soon as possible. Commissioner Janette Contreras suggested just working on the survey at this meeting Commissioner Janette Contreras liked the samples that Susan Voss gave to the Commission. Commissioner Janette Contreras suggested simplifying and streamlining the sample survey questions suggested by Susan Voss. Discussion followed and ACC members developed potential survey questions. Commissioner Janette Contreras suggested limiting the survey to 5 or 6 questions. Commissioner Sally Armendariz suggested a specific question, such as, have you ever attended a live performance in Gilroy? Commissioner Sally Armendariz stated that this should be the first question on the survey. Cathy Mirelez stated that she will ask Lori Van Meter to work on streamlining the questions identified by ACC for the survey. Maria De Leon suggested a question asking if you want to volunteer to support the arts in Gilroy and space for them to put their contact information. Commissioner Janette Contreras asked if there is some type of sticker that can be given to people when they fill out the survey or perhaps a small prize of some kind for every participant who takes the time to complete survey. Maria De Leon said she would look into this. Arts Alive Program for Schools Cathy Mirelez will ask Renee Harrigan if she has any information on the program. Commissioner Janette Contreras will make contact with the school district once people start to come back from summer vacation. Arts Gala Tabled to the September meeting. NEW BUSINESS Arts and Culture Commission & Public Art Committee Assessment Maria De Leon explained the process for the upcoming commission Assessment. Part of the assessment process will include a survey to ensure all Public Art Commission and Arts and Culture Commission members have an opportunity to provide suggestions and feedback. Maria De Leon reported that she will be going before City Council on August 1st to ask that the Council temporarily suspend recruitment for new commissioners until this assessment process is complete. Commissioner Bruce Morasca stated that perhaps a solution would be to combine Public Art Committee and the Arts and Culture Commission. PUBLIC ART COMMITTEE UPDATE Bruce stated that there was no meeting last month. PASEO PROJECT Chair L. Mattie Scariot absent. Gilroy Arts Alliance Update Commissioner Bruce Morasca reported that the summer art and film classes have begun. Virginia Dorn will be showing her art from August 6 thru September 11, 2016 with a reception on August 6, 2016 from 6 to 8 p.m. The Limelight Theatre will have its production of Lend Me a Tenor as a fiord raiser for the Michael J. Fox for Parkinson's Research Foundation. Commissioner Barbara Bottini is staring in this play. STAFF REPORT Cathy Mirelez reported that 57 children are participating in the production of Beauty and the Beast. Cathy provided all Arts and Culture Commission members with a post -card for the upcoming Beauty and the Beast Jr. theater production. The post card included key show information and logistics. Museum Proiect/Tours/Displays Cathy Mirelez stated that 150 school children received a lesson on local history from Museum volunteers during the month of June. CHRISTOPHER HIGH SCHOOL STUDENT REPRESENTATIVE REPORT Jacob Yoder -Schrock — absent Sally spoke with Charlie Morales about getting a student representative from Advanced Path School. Charlie Morales told Sally that he would look into this for her and Sally will also talk to someone from Mt. Madonna School. COMMISSION COMMENTS (Arts -Related) Nothing to report. ADJOURNMENT Vice Chair Bruce Morasca adjourned the meeting at 6:22 p.m. The next regular meeting of the Arts & Culture Commission will beheld on Tuesday, September 13, 2016 at 5:30 p.m. in the City Council Chambers located in City Hall at 7351 Rosanna Street, Gilroy, CA 95020.
