ADJOURNMENT CITY OF GILROY YOUTH COMMISSION REGULAR MEETING MAY 11, 2020 6:00 p.m. City Hall 7371 Hanna Street Gilroy, CA 95020 MINUTES Page 1 of 5 I.CALL TO ORDER The regular meeting of the Youth Commission was called to order by Chair Song at 6:13 p.m. II.FLAG SALUTE The flag salute was led by Chair Paul Song. III.ROLL CALL Members Present: Commissioner Kenneth Apte, Commissioner Joshua Martinez (late 6:29 p.m.), Vice Chair Senna Kolagotla, Commissioner Edwin Lopez, Commissioner Vikash Sabharwal, Chair Paul Song, Commissioner Jane Tovar, Commissioner Serena Ramirez, Commissioner Elizabeth Van Sambeek, and Commissioner Augusta Schulte (left early 6:45 p.m.). Members Excused: Members Absent: Commissioner Brian Alonso Staff Present: Vince Bautista IV.SECRETARY'S REPORT The meeting packet was posted on the City’s website on Friday, May 8, 2020 at 1:45 p.m. and the agenda was posted in the Public Notice Cabinet on Friday, May 8, 2020 at 1:50 p.m. V.APPROVAL OF MINUTES Previous meeting was cancelled due to COVID-19. VI.APPROVAL OF AGENDA Motion was made by Vice Chair Kolagotla to approve the agenda for Monday, May 11, 2020. The motion was seconded by Commissioner Ramirez. The motion carried with a 9-0-2 vote (Absent: Commissioner Alonso and Commissioner Martinez). IX.PUBLIC COMMENT ON ITEMS NOT ON THE AGENDA There is no public comment to share. X.NEW BUSINESS A.Cancellation of Events due to COVID-19. A. The following events were cancelled due to COVID-19: City of Gilroy 150th Anniversary May Presentation to City Council Santa Clara Youth Voice Live Event B.Meeting Calendar Dates for 2020-2021 Year. The Youth Commission is active from October-May. The Commission meetings take place at 6:00 p.m. on the second Monday of every month. Meetings are held at the Gilroy Senior Center meeting room. No comments were made by the Commission. Motion was made by Chair Song to approve the meeting calendar dates for the 2020-2021 year. The motion was seconded by Commissioner Apte. The motion carried with a 9-0-2 vote (Absent: Commissioner Alonso and Commissioner Martinez). Chair Paul Song commented that the Youth Commission Annual Retreat is the biggest meeting of the year. The meeting gives a preview to new commissioners on expectations for the year. Vice Chair Senna Kolagotla mentioned that expectations, goals, and events for the year are discussed. An overall vote took place with the Commission to set the Annual treat for Monday, November 9, 2020. Note: Commissioner Joshua Martinez joined the meeting at 6:29 p.m. Motion was made by Vice Chair Kolagotla to schedule the Annual Retreat for Monday, November 9, 2020. The motion was seconded by Commissioner Lopez. The motion carried with a 10-0-1 vote (Absent: Commissioner Alonso). D.Future Goals for 2020-2021 Year. 1.Staff Report: Chair Song 2.Public Comment 3.Possible Action: Receive and comment on Youth Commission goals for term 2020- 2021. The Youth Commission were tasked to provide a list of goals for the 2020-2021 Year. The following is what the Commission agreed to: 1.Discuss and plan the Career Fair Event. Include different careers and distressed activities for youth. 2.Execute and coordinate the Pampered Princess Party. 3.Assist with Breakfast with Santa and the Holiday Parade. 4.Continue to provide community engagement. Second location: Wheeler Community Center (if weather is a factor). Time: 12:00-2:00 p.m. When: Saturday, November 2020. Who: Youth, teens, and young adults? Career volunteers: Library? Firefighters? City? Network: Peach Jar, school announcements, survey monkey, flyers, emails, etc. - Commissioner Jane Tovar suggested to honor essential workers in some capacity for working during the COVID-19 pandemic. - Commissioner Vikash Sabharwal mentioned to survey the youth for ideas and careers through google doc's or some form of online survey. XII.COMMITTEE REPORTS General Plan Advisor Committee (GPAC): Hiatus -Commissioner V. Sabharwal Commissioner Vikash Sabharwal had no comments to report on the General Plan Advisor Committee (GPAC). XIII.AGENDA ITEMS FOR NEXT MEETING Agenda Items for next meeting 1.Finalize the Annual Retreat for the 2020-2021 year. 2.Discuss details for the Career Fair Event. 3.Vote on the future General Plan Advisor Committee for the 2020-2021 year. 4.Elect and vote on the Chair and Vice Chair for the 2020-2021 year. 5.Introduce ice breakers to welcome new commissioners. 6.Development the Commission mission statement for the 2020-2021 year. XIV.STAFF COMMENTS Staff comments: Staff Bautista shared his sincere gratitude and appreciation for the youth commission. It’s always great to see commissioners grow and development throughout there term. Executive Summary This is the first Youth Commission meeting of the new term. The Youth Commission has seven new Commissioners. An orientation is provided to go over policies and procedures for Youth Commission meetings. Executive Summary Every year at the beginning of the term , the Youth Commission appoints a Chair and Vice Chair to facilitate its meetings. If the Chair is unable to be present at the meeting the Vice Chair will take their place. 8.B Packet Pg. 10 YOUTH COMMISSION STAFF REPORT Agenda Item Title: Youth Advisory Council (YAC) Social Participation and Appointments Meeting Date: October 12, 2020 Submitted By: Monica Sendejas Prepared By: Monica Sendejas Recommendation: Motion and vote to participate in the Youth Advisory Council (YAC) Social and appoint 1 or 2 representatives to the YAC Social planning committee. Executive Summary Youth Advisory Council (YAC) Social is an event that happens every Fall/Winter to bring together all YAC Commissions/Committees/Teen Advisory Boards from different cities in District 4. The YAC Social virtual event is tentatively scheduled for November. The first planning meeting with Commissioners and Advisors will be held virtually on Thursday, October 15, 2020 from 5:00 to 6:30pm. The Gilroy Youth Commission has been invited to select 1 or 2 representatives to participate on the planning committee. 8.C Packet Pg. 11
